When we first met Dynamelec, they were becoming increasingly frustrated with the time they were having to put into managing their accounts, which was diverting valuable resources that could be better spent on developing the business. At the time, they were using a desktop version of Sage, and working with an accountant they really only communicated with at the end of each financial year. Their accounting system was based around several disparate solutions, and they were a long way from realising their goal of a paperless work environment.
Adding further complexity was the fact that the company’s field-based engineers were unable to access the system remotely, leading to tasks being duplicated, and taking longer than they should.
With an in-depth understanding of Dynamelec’s needs, we created a bespoke solution based around Xero software, adding in specific applications to give them all the functionality they needed. Because our solution is web-based it can be accessed by any authorised person from anywhere at any time, allowing field-base staff to issue on the spot quotes, invoices and certifications using their smartphones or tablets. They’re even able to upload images of receipts or other project documentation to a workflow system synchronised with the accounts.
Finally, to give Dynamelec a virtually hands-free solution that leaves them free to focus on their clients, we take care of payments to their suppliers and look after their payroll and CIS.
The new accounts system has dramatically increased efficiency, speeding up the process of quoting a project, scheduling it in, and invoicing once it’s been completed. Cash flow has also improved significantly - each time a payment is received at their bank, Dynamelec are notified automatically, enabling accurate statements and tighter credit control. Healthier cash flow has made more money available to the business, allowing it to take on additional staff and invest in equipment.
